Afterschool Policies

Payment Policies and Procedures
Monthly payments are due to KidsArts on or before the first of each month. Auto debit and monthly card/e-check processing will occur on the first of each month (or on the first weekday of the month if the first of the month is a Saturday or Sunday). Fees that are received after the 10th will be assessed a $25 late fee. If you are experiencing financial hardship and cannot make your monthly payment please contact the Operations Manager immediately. If payment has not been received by the 20th of the month we reserve the right to cancel your registration. There is a $35 fee for any returned checks*. Click here to log into your online account.

Electronic Check from your bank account is our preferred method of payment. Using an electronic check saves us costs that we can put back into our program.

Drop-in Day: If your child needs to attend on a day they are not registered for please email the Operations Manager at least 24 hours in advance to see if there is space on the day they need to attend. A $25 drop-in charge will be added to your account.

Withdraw from Program or Make Changes to Your Enrollment: Four (4) weeks written or emailed notice is required. No account adjustments will be made without notice. If a student withdraws from the afterschool program auto-billing will be cancelled, a full/pro-rated refund or credit will be made if applicable, less a $20.00 administrative fee.

Late Pick Up & Fees: Children must be picked up by the end of the program time 6:00pm. Late fees will be assessed after 6:05pm. Any child picked up after 6:05 will be charged $1.00 per minute. Failure to pay these late fees may result in dismissal from the program.

ABSENCES Parents should contact the program if a child will not attend  KidsArts on a regularly scheduled day. Please email the Bus Coordinator or leave a message on the answering machine that will be relayed to the Site Manager/Program Manager.  The Site Manager/Program Manager or Bus Coordinator will  call the parent in an effort to locate a child not in regular attendance.

EMERGENCY DRILLS KidsArts conducts quarterly unannounced fire drills. The  Program Manager will conduct the fire drill and record documentation.

REFUND POLICY If KidsArts cancels a session, vacation week or holiday we will issue a full refund or credit. If a student withdraws from a session, vacation week or holiday 14 or more calendar days before the first day, a full refund or credit will be made, less a $20.00 administrative fee. NO refunds will be issued after that time if a student withdraws.

Late Pick-up Policy
Afterschool: We offer a five minute grace period. Any child picked-up more than 5 minutes after 6pm will be charged $1.00 per minute. You will be billed at the end of the month for any late fees. All payments must be paid prior to your child returning to program.

Homework
Opportunity is given for children to work on homework during after school time. However, it is not the responsibility of the After School Program to ensure that a child’s homework is completed or correct.

Inclement Weather
KidsArts follows the same schedule as the Boston Public Schools for holidays, inclement weather and state of emergencies.  In the event that circumstances do not allow for the KidsArts website to be updated or for us to email you please default to the Boston Public School alerts.

We welcome participants of all abilities. If  your child has any special needs, please let us know in advance so that we can make every effort to accommodate. The first floor is wheelchair accessible.  Dial 711 if you are deaf, hard of hearing or need voice access via Massachusetts Relay TTY. Holidays
KidsArts will observe the following holidays:  Labor Day, Veteran’s Day, Thanksgiving, Christmas, New Year’s Day, Martin Luther King Day, Easter, Memorial Day, and July 4th (Summer Program).  For specific dates, please refer to the current school calendar.
